About the Role

We’re looking for a professional, people‑focused, and highly organised Office Administrator to be the welcoming face of our Takapuna office. This five‑days‑in‑office role is ideal for someone who is an experienced administrator who enjoys being at the centre of a busy workplace, anticipates needs and exercises sound judgement.

In this pivotal role, you’ll ensure smooth office operations and provide exceptional first impressions for clients and visitors. You'll thrive in a busy, varied environment where no two days are the same, and take pride in creating a professional, positive, and well-functioning office space.

Key Responsibilities

Reception & Client Experience

  • Welcome clients and visitors, provide information, and direct enquiries professionally.
  • Deliver an exceptional in‑person experience for clients, guests, and partners.
  • Build rapport and communicate confidently

Office Coordination & Operations

  • Maintain a tidy, organised, and productive office environment.
  • Act as the key point of contact for building management, contractors, and maintenance providers.
  • Manage postal, courier, and mail requirements efficiently.
  • Manage office supplies, product ordering, and general day‑to‑day office upkeep.

Meetings & Events

  • Coordinate meeting room bookings and manage availability across the office.
  • Support team events, workshops, and group meetings, including arranging catering.

Administration & Professional Excellence

  • Use standard software confidently, including MS Word, Excel, Outlook, Teams, Slack, and Adobe.
  • Work independently using initiative to manage daily office administration tasks.
  • Uphold high professional standards and contribute to continuous improvement across office processes.

Skills and Experience Required:

Client Facing Experience

  • 1- 3 years of experience in corporate administration or reception roles where you’ve delivered outstanding client interactions.
  • Previous experience using CRM systems such as Salesforce is preferred but not essential, as full training will be provided

Strong Interpersonal Skills

  • Ability to build rapport quickly and communicate clearly with clients, partners, and colleagues.

Confidence Working Independently

  • A proactive approach with the ability to manage tasks autonomously in a fast-paced environment.

Office Administration/Coordination Experience

  • Experience managing daily office functions and supporting coordination tasks.

Commitment to Professional Standards

  • A high level of presentation, attention to detail, and a passion for delivering excellent client experiences.
